Step-by-step guides for kitchen and front-of-house staff using the Taybl Staff App for food safety: cooking logs, checks, temperatures and more.
Adding Cooking Logs
Use a cooking check to record the core temperature of food as soon as it's cooked, so you have proof it reached a safe temperature. Steps 1. On the Home screen, tap the orange + button and choose Cooking. (You can also go to Manage > Temperature Checks > Cooking Checks and tap New Check.) 2. Enter the name of the dish in Food Item, e.g. "Beef Chilli". 3. Check the Started time is correct — it defaults to the current time. 4. Use the number pad to enter the Core temperature of food in °C, e.g. 78. 5. Add any Additional information or comments if needed — this is optional. 6. Tap Submit Temperature Check. Quick-add menu (Step 1) Completed cooking check ready to submit (Steps 2-6) Check Saved confirmation (after Step 6) Tips Cook food to at least 75°C (or 70°C for 2 minutes) to make sure it's safe. If the temperature is too low, keep cooking and check again before serving. Always take the reading in the thickest part of the food for an accurate reading. If a reading falls outside the safe range, the app will flag it — don't ignore this. Keep cooking the item and re-check, and let a manager know if it keeps failing. You can review everything you've logged today under Manage > Records > Past Records.
Managing Your Own Profile
Update your details, change your password, and set your app preferences from My Account. Steps 1. Tap More, then My Account. 2. Under Your Details, check your Name, User Type and Email are correct. Add or update your Mobile No. if needed. 3. To change your password, fill in Current Password, New Password and Confirm New Password under Change Password, then tap Update Password. 4. Scroll down to set your Profile Photo, Appearance (Light, Dark or System), and whether you want Push Notifications — including any days you'd like them switched off. 5. Under Checklists, turn Use card view for Opening & Closing checklists on or off, depending on how you like to work through them. 6. Tap Save Changes at the bottom to apply your updates. Your Details and Change Password (Steps 2-3) Appearance, Notifications and Checklists settings (Steps 4-5) Tips Some fields, like your Name and User Type, are set by your manager and can't be edited here — ask them if these need changing. Setting Appearance to System will automatically match your phone's light or dark mode setting. If you disable Push Notifications on certain days, you'll still see everything in the app — you just won't get alerts on your phone.
Viewing Bookings
The Bookings screen shows every reservation for the day, so you can see who's coming in and plan ahead. Steps 1. Go to Manage > Bookings > Bookings. 2. Use the date bar at the top to move between days — tap Today to jump back to the current date. 3. Each booking shows the time, guest name, guest count, meal sitting and table number, along with its status — Confirmed or Pending. 4. Any special requests, like dietary needs or accessibility notes, appear underneath the booking details. Today's list of confirmed and pending reservations Bookings with special requests or accessibility notes Tips Pending bookings usually come from online requests waiting for confirmation — check with a manager if you're not sure whether to treat one as confirmed. Always check the notes on a booking before service — things like allergies, wheelchair access or special occasions can affect how a table is prepared. This screen is read-only from the Staff App — bookings are created and edited elsewhere, so use it to check who's coming in rather than to make changes.
Viewing Pre-Orders
Pre-Orders shows any food or drink guests have ordered ahead of their visit, so the kitchen can prepare in advance. Steps 1. Go to Manage > Bookings > Pre-Orders. 2. Any upcoming pre-orders are listed here, showing the guest, the booking they're linked to and what's been ordered. 3. If there are none due, the screen will say No upcoming pre-orders. The Pre-Orders screen when nothing is due Tips Pre-orders are usually linked to larger bookings, like Sunday lunches or set-menu events, where guests choose their meal in advance. Check this screen alongside Bookings so the kitchen knows what to prepare ahead of a busy sitting. If a guest's order needs to change, this is handled outside the Staff App — speak to a manager if something looks wrong.
Viewing Suppliers
The Suppliers list shows every supplier registered for your venue, along with when they deliver and how to contact them. Steps 1. Go to Manage > Suppliers & Contacts > Suppliers. 2. Use the search bar, or the Type and Venue filters, to narrow the list down. 3. Each supplier card shows their delivery days and which venues they supply. 4. Tap the phone or globe icon to call the supplier or open their website directly. 5. Tap a supplier's card to open their details, including their category and full delivery schedule. Use the Venue filter if your venue works with multiple sites, so you're only seeing suppliers relevant to where you are. If a supplier's details look out of date, let a manager know — supplier records are managed from the Admin Panel.
Viewing Contacts
Contacts is your quick-access list of tradespeople and service providers, like electricians, plumbers and pest control, so you can reach them fast when something needs fixing. Steps 1. Go to Manage > Suppliers & Contacts > Contacts. 2. Use the search bar, or the Categories filter, to find the trade or service you need. 3. Each contact shows their business name, trade and the named person to ask for. 4. Tap the phone icon to call them directly, or the envelope icon to send an email. The Contacts list, grouped by trade and category Tips Contacts is different from Suppliers — use this list for one-off trades and service providers, not for your regular food and drink suppliers. For urgent issues, like a gas or electrical fault, always call rather than email. If a contact you need isn't listed, let a manager know so it can be added from the Admin Panel.
Viewing Documents
My Documents stores staff certificates and paperwork, like food hygiene certificates and right to work documents, so you can check what's on file and what's due to expire. Steps 1. Go to Manage > Suppliers & Contacts > Documents. 2. Use the search bar, or Filter by Category, to find a specific document or type. 3. Each document shows who it belongs to, its type and venue, and its status — Valid, Expired or No Expiry. 4. Tap a document to open it and view the full file. My Documents, showing Valid, Expired and No Expiry statuses Tips If your own certificate shows as Expired, let a manager know so a renewal can be arranged — you may not be able to work certain sections until it's updated. Documents marked No Expiry, like Right to Work checks, don't need renewing but should still be kept accurate. New documents and certificates are uploaded from the Admin Panel — speak to a manager if something is missing.
Adding a Maintenance Request
If something in the venue is broken or needs fixing, log it as a Maintenance Request so it gets tracked and actioned. Steps 1. Go to Manage > Facilities & Menu > Maintenance, then tap + New Request. 2. Choose the Venue, Location and Request Type that best match the issue. 3. Add a short Brief Description, then set the Request Urgency from Routine to Critical. 4. Write a Full Description of the issue, including when it started and how it's affecting service. 5. Answer the three follow-up questions, then tap Submit Maintenance Request. A completed New Request form, ready to submit Tips Set the urgency honestly — Critical is for issues that stop service, like a broken fridge or a leak, not everyday wear and tear. The more detail you add to the Full Description, the easier it is for whoever picks up the job to fix it first time. For anything that could be a safety risk, always tell your line manager straight away as well as logging the request.
Reviewing Maintenance Requests
The Maintenance screen shows every open request, so you can see what's already been reported and check on progress. Steps 1. Go to Manage > Facilities & Menu > Maintenance. 2. Open Requests lists everything currently reported, with a status badge (Open or In Progress) and a priority badge (Routine, Moderate or Critical). 3. Each card shows the location and category, and who raised it. 4. Tap a request to open its full details, including the description of the issue. In Progress means someone is already working on it — Open means it hasn't been picked up yet. If a Critical request hasn't moved for a while, follow up with a manager rather than waiting.
Viewing Recipe Cards
Recipe Cards give you the ingredients, method and allergen information for every dish on the menu, so you can check a dish or answer a guest's question with confidence. Steps 1. Go to Manage > Facilities & Menu > Recipe Cards. 2. Use the search bar to find a dish, or scroll through the full menu list. 3. Tap the eye icon on a dish to open its recipe card. 4. Each card shows a photo, price and description, followed by Allergens and Dietary information. 5. Tap Allergens or Dietary to expand them, then scroll down for the full Ingredients and Method. A recipe card with allergens expanded Tips Always check Allergens before answering a guest's question directly — don't rely on memory for allergen information. The Method section is a useful refresher if you're covering a dish you don't usually prepare. If a recipe card looks out of date or wrong, flag it to a manager — recipe cards are edited from the Admin Panel.
Viewing Past Records
The Records screen lets you look back at completed checks, logs and records for any day, so you can review what was done and by whom. Steps 1. Go to Manage > Records, or tap Records in the bottom navigation. 2. Use the date bar at the top to pick the day you want to look back at. 3. You'll see a card for each record type — Opening Checks, Fridge & Freezer Temps, Delivery Logs, Cooking Records, Closing Checks, Wastage Log, Diary Entries and Deep Cleaning Tasks. 4. Tap the arrow on a card to expand it and see everything logged that day, including who completed it and when. If a card looks empty for a date, it likely means that check wasn't completed that day. Past records can't be edited from here — they're a read-only history of what was logged.
Viewing Compliance Reports
Reports gives you a quick view of how many tasks have been completed, so you can see at a glance how compliance is tracking. Steps 1. Go to Manage > Records > Reports. 2. Choose Daily, Weekly or Monthly to set the time period. 3. The top cards show how many tasks are completed and how many are still due for that period. 4. The Task Completion Overview shows your completion percentage, along with the number completed, remaining and total. 5. The Completion Trend chart shows how compliance has changed over recent days. The Compliance report for today, showing completion percentage and trend Tips If today's percentage looks low early in the day, that's normal — many tasks aren't due until later, like Closing Checks. Switch to Weekly or Monthly to see the bigger picture rather than just today's snapshot. If the Completion Trend is dropping over several days, flag it to a manager — it may point to a task being missed regularly.
How to Get Support
If you're stuck or something isn't working, the Support section has this Help Center of articles and a Live Chat straight to the Taybl team. Steps 1. Go to More > Support. 2. On the Help Center tab, browse by category, or use the search bar to find a specific topic. 3. Tap an article to read the full step-by-step guide. 4. If you can't find what you need, switch to the Live Chat tab and send a message to the Taybl team. The article count next to each category tells you how much is covered there before you start browsing. For anything urgent, like equipment failure or a health and safety issue, speak to your manager directly rather than waiting on chat.
Logging Fridge & Freezer Temperatures
Fridge and freezer temperatures are logged from the Staff App at set points in the day, so you always have an accurate record for food safety checks. Steps 1. From the Home screen, tap the temperature check task, such as Fridge Temps, or go to Manage > Temperature Checks > Fridge Temperatures. 2. Use the tabs at the top to select which fridge or freezer you're recording, such as Fridge 1 or Walk-in Freezer. 3. 4. Enter the temperature using the keypad. Tap the ± symbol if the reading is below zero. 5. Tap Next Temp to move on to the next unit, or Previous Temp to go back and check a reading. 6. Once every unit has a reading, tap Save Closing Temperatures (or Save Opening Temperatures) to submit the check. 7. The task on Home shows how many units are still due today, so you can see at a glance whether opening or closing checks still need doing. If a reading falls outside the safe range, record it as normal and let a manager know so it can be actioned. Saved temperature checks appear under Records > Fridge & Freezer Temps, so you can look back at previous readings at any time.
Logging a Delivery
Every delivery is logged from the Staff App as it arrives, recording temperatures and checks so there's a full food safety record. Steps 1. From the Home screen, tap Delivery Log, or go to Manage > Logs > Delivery Logs, then tap New Delivery. 2. 3. Choose the delivery type - Ambient, Chilled or Frozen. 4. Check the Time is correct, then select the Supplier from the dropdown. 5. Tap Add a product to list what's been delivered. 6. Enter the Food Temperature and Van Temperature using the keypad. 7. Confirm the use-by dates have been checked and the delivery is in good condition using the tick boxes. 8. Add any Additional information or comments, and scan the delivery note if you have one. 9. 10. Tap Submit Delivery Record to save it. If a delivery fails a check - wrong temperature, damaged packaging, an expired use-by date - reject it and let a manager know before it goes into storage. You can add more than one product to a single delivery record if several items arrived together. Delivery records are saved under Records > Delivery Logs, so you can check what's been received on any given day.
Logging Wastage
Food wastage is logged from the Staff App whenever stock is thrown away, keeping a record of what's wasted and why. Steps 1. Tap the + Quick add button, or go to Manage > Logs > Wastage Log. 2. 3. Enter the Name of Item Wasted. 4. Enter the Quantity and choose the unit, such as Grams or Kilograms. 5. Enter the Reason for Waste, such as over-prepped or past use-by date. 6. Tap Submit Wastage Report to save it. 7. Logging wastage accurately helps track patterns over time, such as items that are regularly over-prepped or going out of date before use. Be specific with the Reason for Waste - "over-prepped" or "dropped on floor" is more useful than a vague note. Wastage records are saved under Records > Wastage Log, so managers can review what's being thrown away and why.
Adding a Diary Entry
The Diary is where you note anything worth flagging that doesn't fit a checklist, such as issues, concerns or observations. Steps 1. Go to Manage > Logs > Diary, or navigate to the Diary from the Records section. 2. Type your note in the text box, describing what happened. 3. 4. Tap Save Diary Entry to add it to today's diary. 5. Your entry appears under Previous Entries, along with your name and the date. 6. Use the Diary for things that aren't covered by a checklist, such as a late delivery, a faulty piece of equipment, or an unusual incident. Diary entries are dated and attributed to whoever wrote them, so managers can see who reported what and when. You can add as many entries as you need in a day - there's no limit to how many notes you can log.
Completing Closing Checks
Closing Checks is a swipeable checklist you complete at the end of the day, answering Yes, No or N/A to each question. Steps 1. From the Home screen, tap Closing Checks, or go to Manage > Checklists > Closing Checks. 2. Read the question shown on the card, which is tagged by category such as Food. 3. 4. Tap Yes, No or N/A to answer, or swipe the card left or right. 5. Keep answering until you've worked through all the questions - the counter at the top shows your progress, such as Question 1 of 11. 6. 7. Once every question is answered, the checklist is marked complete for the day. If you're not sure about a question, use N/A rather than guessing Yes - it keeps the record accurate. Use the back arrow above the card if you need to go back and change a previous answer. Completed checklists are saved under Records > Closing Checks, so you can look back at any day's results.
Completing Opening Checks
Opening Checks is a swipeable checklist you complete at the start of the day, answering Yes, No or N/A to each question. Steps 1. From the Home screen, tap Opening Checks, or go to Manage > Checklists > Opening Checklist. 2. Read the question shown on the card, which is tagged by category such as Food. 3. Tap Yes, No or N/A to answer, or swipe the card left or right. 4. Keep answering until you've worked through all the questions - the counter at the top shows your progress. 5. Once every question is answered, the checklist is marked complete for the day. 6. Complete Opening Checks before service starts, so any issues can be dealt with before customers arrive. If you've already completed today's checks, the screen will let you know - tap More then Past Records to review what was logged. Completed checklists are saved under Records > Opening Checks, so you can look back at any day's results.
